Objective

Provide support to the Plant Manager in managing and optimizing schedules, expense control, consolidation and validation of reports/presentations, as well as coordinating activities and following up on key tasks to ensure daily operations are aligned with defined strategy and objectives.

 

Main Responsibilities

  • Schedule meetings and manage the Plant Manager’s calendar.
  • Track assignments and agreements resulting from meetings attended by the Plant Manager.
  • Consolidate information for ORM presentations and monthly communications.
  • Prepare and deliver the Plant Scorecard report.
  • Generate Operations Dashboard reports and send weekly Action Plan updates (validate indicators with relevant areas).
  • Process invoices and follow up on supplier payments.
  • Create purchase orders for office supplies or materials for coffee breaks during visits.
  • Manage collection and transportation of mail, materials, or personnel between sites, optimizing costs.
  • Support 5S audits in administrative areas.
  • Assist in coordinating and monitoring administrative aspects of projects and initiatives, ensuring proper documentation and logistics.
  • Facilitate communication and coordination between executive areas and the Plant Manager, aligning priorities and information flow.
  • Prepare documentation, presentations, and reports aligned with organizational messaging.
  • Coordinate daily operational agenda activities, visits, and follow up on administrative tasks.

 

Position Requirements

  • Bachelor’s degree in business administration or related fields.
  • Technical Competences: Proficiency in MS Office, SharePoint, SRM, CONCUR, Zoom.
  • Skills: Strong organizational and time management skills, experience with supplier payments, quotations, event logistics, travel itineraries (cost optimization), customer service, effective communication and presentation skills.
  • Experience: Executive Assistant: 2 years (required).
  • Languages: Intermediate to advanced English proficiency.
  • Soft Competences: Effective communication, organization, attention to detail, teamwork.
